This policy explains how Saint David Fire District handles information collected through Stdavidfire.com. It covers website visits and online submissions. It does not replace any separate privacy notice applicable to patient-care records.

Information You Provide

Website forms collect information relevant to the service requested. Depending on the form, this may include:

  • Names, contact details, addresses, and dates of birth.
  • Volunteer interests, availability, qualifications, background information, and emergency contacts.
  • Property information, burn locations, and proposed burning activities.
  • Public-records request details and delivery preferences.
  • Uploaded documents and electronic signatures.

We use this information to process applications and requests, communicate with you, and provide District services.

Do not enter Social Security numbers or driver’s license numbers in website forms. Required identifying information for volunteer onboarding is collected separately.

Submission Delivery and Review

Completed forms are emailed to designated District personnel. The website’s form-submission storage feature is disabled. Disabling this feature does not prevent submissions from being retained in District email or records systems.

Volunteer applications are received by the Fire Chief and administrative staff and reviewed by District staff and officers involved in recruitment. Other submissions are directed to personnel responsible for the requested service.

Form processing may involve temporary files, including uploads, signatures, and generated documents.

Service Providers

Providers supporting website hosting, form processing, email delivery, analytics, and related functions may process information as part of delivering those services.

External websites and services operate under their own privacy policies.

Website Statistics

We use Jetpack Stats, provided by Automattic, to understand website traffic and improve the site.

Jetpack may collect IP addresses, browser and device information, pages visited, referring websites, visit timestamps, browser language, and country information. For visitors logged into WordPress.com, it may also collect their WordPress.com user ID and username.

Jetpack Stats does not display individual visitor IP addresses or WordPress.com identities to the District. Automattic states that its statistics logs are retained for 28 days.

Cookies and Embedded Content

Website features and embedded third-party services may use cookies or similar technologies. Embedded content may allow its provider to collect information when the content loads or when you interact with it.

You can control cookies through your browser settings. Restricting cookies may affect some website features and does not necessarily prevent all statistics collection.

Retention and Public Records

Submissions may become District records and may be retained according to applicable records-retention requirements and District procedures.

Information submitted through this website is not automatically confidential. Disclosure requests are evaluated under applicable public-records requirements and protections.

Requests to correct or delete information do not override requirements to preserve District records.

Security and Sensitive Information

No method of internet transmission or electronic storage is completely secure. Provide only the information requested for the service you are using.

Do not submit passwords, payment-card information, Social Security numbers, driver’s license numbers, or unrelated sensitive documents through website forms.

For assistance with sensitive information, contact the District first to discuss an appropriate submission method.

Children’s Information

Volunteer and burn-permit application forms are intended for adults age 18 or older.

Children should not submit personal information through these forms. If you believe a child has submitted personal information, contact the District so the submission can be reviewed and handled appropriately.

Your Choices and Corrections

You may browse public website information without completing an application or request form. Certain services require information necessary to process your request.

To correct or update a submission, reply to its confirmation email, if available, or contact the District. For volunteer applications, email recruitment@stdavidfire.com.

If you prefer not to use an online form, contact the District to discuss available alternatives.

Policy Updates

We may update this policy when website features or information-handling practices change. Revisions will be posted on this page with an updated revision date.
